Refund denied? How to ask them to reconsider
A first "no" from customer service is often not the final answer. A calm, specific letter that points to the facts and the company's own promises gets a second look more often than another phone call.
1. Gather the facts
- Your order or receipt number, the purchase date, and the amount
- The denial itself (email, chat transcript, or notes from the call with the date and the agent's name)
- The company's refund or return policy as it was written when you bought
- Photos of the item or problem, and proof of return shipping if you sent it back
- Any ad, listing, or message that promised something the product or service didn't deliver
2. Find the reason it was denied
Common reasons are "outside the return window", "item used or damaged", or "no proof of purchase". Answer that reason directly. If you returned it on time, say when and how. If it arrived damaged, say so and attach photos. If the policy was unclear or wasn't shown at checkout, point that out.
3. What your letter should include
- Your name, contact details, and order number
- The date of purchase, the amount, and the date of the denial
- A short, factual account of what went wrong
- Why the denial should be reversed, tied to their policy or what was promised
- Exactly what you want, such as a full refund to your original payment method
- A response deadline, such as 14 days, and a list of enclosed copies
Keep it polite and firm. Stick to facts, skip insults, and keep a copy of everything you send.
4. If they still say no
If you paid by credit card, you can usually ask your card issuer to dispute the charge. Issuers set time limits for this, so don't wait long. You can also file a complaint with your state attorney general's consumer protection office or the Better Business Bureau, which often prompts a response from the company. Mentioning these next steps in your letter, calmly, shows you're serious.
